Meeting Minutes – November 21, 2006

Old Business

  1. Received a “Thank you” card from the Dubuque Humane Society for our participation in Dog-O-Ween.
  2. Received a news letter from the Arbor Day Foundation.
  3. Discussion of the Make-A-Wish foundation. Ladd has tried several times to get their permission to use their name and/or logo when we are advertising to do fundraising for them. To this date, Ladd has heard nothing back from them. Discussion of what to do. Discussion of possibly finding another non-profit group to do fundraising for. Ladd will make another attempt to get the Make-A-Wish foundation on board with us so that we can do fundraising for them.

New Business

  1. The December PHlocking will be Thursday, December 14th, at the Lux Club (6:30pm-whenever). Come join us for a social hour or two or three.
  2. Al (A Pirate Over 50) plays at Fats on December 9th. (time??)
  3. The next business meeting will be Monday, December 18th, at the Lux Club (7:00pm).
  4. Laura tried to contact Chestnut Mountain about being involved in their January event. She has not heard back from them. Motion by Ladd, second by Chris: If we have not heard back from Chestnut by the next business meeting, we will table this event until next year. Motion passed 6-0
  5. Discussed t-shirts for the Paradise in Peosta event in January. We need to get the artwork from Adam at Kirchoff. Al will have Adam send this to Ladd and Bob. Discussed colors, sizes, quantities, and logo use ideas. It was decided that we should only go with one color of shirt at this time. As we find out how t-shirt sales go, we will move into other colors. A khaki/sand color was decided upon. It was suggested to put “Mid-Winter Beach Party” with the Phlockers logo on the back so that it could be larger and to put “Paradise in Peosta” on the front left shoulder area in a smaller print. Sizes were decided to be ¼ mediums, ½ larges, and ¼ extra larges for whatever quantity we can purchase for sale. Bob and Ron will work on the t-shirts and bring back more information to our December business meeting. Motion by Ladd, second by Ron: Our club will allocate up to $350 to t-shirts. Motion passed 6-0.
  6. Ladd has sent information to area clubs (Davenport, Madison, etc…) about Paradise in Peosta and the Chestnut event. He has had a lot of interest from those area clubs.
  7. Discussed the blocking of rooms at the Americinn in Peosta for area clubs. This will probably be done but will discuss it further at our next business meeting once we know approximately how many rooms to book based upon information from the area clubs.
  8. Ladd discussed the status of us upgrading our website to NetSmart. NetSmart does not support the program that Ladd is using. Therefore, Ladd will continue to host the website until he is no longer able to do so.
  9. Discussed tax-exempt/non-profit status. Gina Noel has been unable to speak with John (CPA) because he has been gone for several weeks on his honeymoon. Gina will talk with him later.
  10. Ladd sent an email to PHIP about listing the children of our members on our membership list that is sent to PHIP. The children are considered members of our club with a paid membership for a family. We do not send anything personal about members and the PHIP does not give this information to anyone else. Motion by Ladd, second by Jeff: To list the children of our members onto the membership list sent to PHIP. Motion passed 5-0 (1 member absent at this time)
  11. Discussed the possibility of using membership cards in our club and to have sponsorship form businesses. This discussion was tabled until a later time.
  12. Ladd sent out membership renewal letters to those who have not yet paid their dues.
  13. Discussed doing public service announcements (PSAs) on the radio to help build membership.
  14. Discussed buying space in the TH to advertise for membership. This discussion was tabled until a later time.
  15. Discussed having membership flyers made up to hand out.
  16. Al will have a banner made to hang behind him whenever he plays.
  17. Discussion of the tear-off sheets to be put up in bars. This seems to work well.
  18. Ladd sent a letter to Mike Frommelt (social director) two weeks ago about his lack of involvement in the club activities. Motion by Ladd, second by Bob: To suspend Mike Frommelt’s social director status at this time due to lack of involvement in the club as outlined in our by-laws. Motion passed 5-0 (1 member absent at this time)
  19. Discussion of our technology director’s status at this time. Ladd will address this with the technology director.
  20. Motion by Ladd, second by Al: To have our club provide a free lifetime membership to Jimmy Buffett. Motion passed 6-0
  21. Motion by Ladd, second by Bob: To adjourn. Motion passed 6-0
