Meeting Minutes – April 26, 2007

Old Business
- The t-shirt inventory was discussed. Ladd wants to get pictures on our website for people to see the shirts. This may help t-shirt sales.
- Discussed tax info. Treasurer was able to confirm with the IRS and Iowa Dept of Revenue and Finance that we have no obligation to file federal or state taxes this year.
- Ladd and Ron discussed their recent trip to the Madison area to party with a purpose with the Madison PH club during their fundraiser. Ron reportedly did very well on their Buffett trivia game and Ladd scored some Land Shark beer. We all want to know when Ladd is having a Land Shark beer tasting party.
- Laura reported on the upcoming family bowling day. There are 15-20 participants scheduled. Bowling is 3:00-5:00pm. It is $25/lane and we have 3 lanes reserved. A request was made that members wear their club t-shirts to the bowling event.
- Motion by Ladd, second by Ron to pass a hat at the bowling event in order to pay for the lanes. Motion passed 8-0 (We do not want to take funds out of our club account as these monies are designated for charities.)
- Laura reported on the May 19th Galena Triathalon: All shift are full (update as of May 9th... there is now 1 shift that needs to be filled so please contact Laura if you can help out). We are expecting $160 to come to our club for our volunteer efforts. Thank you to everyone who has signed up to volunteer. Note that it is Lauras birthday on May 19th and everyone is invited to meet at the Yardarm after the triathalon to celebrate with Laura.
New Business
- Discussed finances and went over the club financial report.
- Discussed doing raffles and lotteries for fundraising activities. Laura reported on information that she had obtained for doing raffles and/or lotteries.
- Ladd reported that he had set up a meeting with Mary at the Yardarm to discuss the possibility of our club doing promotional activities with them. This meeting will be Thursday, May 3rd at 1:00pm.
- Capt Jack is having his Pirate Party July 21st. This is the same day as the business meeting/camping at Ladds. Maybe we can boat to Midtown to participate.
- Discussed our upcoming 1st anniversary as a club. Discussion of having a one year anniversary party. We want to work with the Yardarm and Mark Steuer to make this a great anniversary event.
- Motion by Ladd, second by Bob to officially do something for our one year anniversary. Motion passed 8-0
- Discussion topics pertaining to this event:
- The Cedar Island Band is at the Yardarm on July 7th. We would like to work this into our event. Ladd states that he has spoken with the band and that they will promote our club on this evening.
- Offer ½-price memberships at this event?
- Reserving hotel rooms for those coming from out of town.
- Is it feasible to get a bucket of Corona from Kirchoff for the hotel rooms?
- Doing a day trip on the American Lady?
- Need to find out how the Yardarm and Cedar Island Band are working out payment for the band. This is important because we want to know if the entry fee into the Yardarm could be covered by the fee paid to attend the anniversary event.
- How many people can fit into the Yardarm and on the American Lady? We need to let the Yardarm know how many people we are having that evening.
- Possible daytime activities: Field of Dreams, boat/dog track, Miss River Museum, 4th street elevator, golfing
- Door prizes: Who in the community will donate? We need to plan to promote Kirchhoff before and during this event as they will help us out. We want to find some big items to raffle/auction off that day and/or evening.
- Proceeds to go to Make-A-Wish(MAW). We need to promote this and see if MAW will help us with PSAs. Ron spoke with WJOD about PSAs through Kirchhoff, the Yardarm, and MAW and they said no problem.
- We need to think about providing shuttles to and from the hotel so that people attending this event are not driving after drinking.
- Entry fee? This will be decided after we get some pricing for activities planned.
- Discussed Music At the Meadows. It is August 3rd. We want to have a table to sell items. We would also like to have a raffle/auction. We volunteer to help with beer sales, crowd control, etc. We will want to find out if we can get a donation or get some of the proceeds to go toward Make-A-Wish or the Dubuque Humane Society.
- Motion by Ron, second by Laura to adjorn. Motion passed 8-0
