Meeting Minutes - July 24, 2008

Meeting called to order at 6:50pm.

Ron Markus, Bob Noel, Laura Schauer, Jeff Sanderfield, Chris Sanderfield, Christy Kies, Kim Maiers, Randy Forsyth, Jason Bries, Janet Bries, Mike Bradley, Jody Bradley, (non-members visiting our meeting: Mia Burbach and Julie Merfeld)

Old Business

  1. OPH 2008 final finances discussion. Treasurer had no more receipts turned in by the deadline, therefore we have funds of $6375.70 available for donation to Make-A-Wish Foundation of Iowa.
  2. Discussion of the upcoming Camp Courageous Volunteer Day. Our club will volunteer to do clean-up or anything else that they need us to do. We will work approximately 3-4 hours. We need to come up with a date that will work for our club and the Cedar Rapids club to work together on this. Please look at your calendars as Saturday, September 13th was discussed. We will also try to do some fundraising for Walnut Acres (Monticello campgrounds) that same day at the campground location. More information on both of these to come later but please let Ron know if you are interested in volunteering.
  3. Continued discussion of our old club t-shirts. Possibly donate them to an organization or use them for baskets and give-aways at events. No decision made at this time but members present felt it best to use for baskets and give-aways if possible.
  4. Discussion of a debriefing meeting for OPH 2008. What went right? What went wrong? What can we do to improve for OPH 2009.

New Business

  1. Discussion of possibly moving the time frame for OPH 2009 as summer seems very busy for members and attendees. Dates given to consider are Sept 12, Sept 19, Oct 10, Oct 17. We can look at other times of the year also. Consider additional dates and also watch what is going on yet this year that may conflict with some of these dates in 2009. Further discussion on this as the year progresses.
  2. August 28th business meeting to be held at the Lux Club
  3. August 14th social to be held at Spirits unless Jeff and Ladd can arrange boat transportation to Schumacher's beach on a Saturday in August. Watch the club calendar for any updates on the beach social.
  4. Motion by Ron, second by Mike to suspend regular business meeting proceedings in order to vote for open offices within the club. Motion passed 12-0
  5. Voting conducted and new board members are as follows: President, Ron Markus; Vice President, Randy Forsyth; Treasurer, Barb Markus; Secretary, Laura Schauer; Membership Director, Christy Kies; Social Director, Kim Maiers; Technology Director, Ladd Nelson. Congratulations to the new board members!
  6. Motion by Laura, second by Janet to return to regular business meeting proceeding. Motion passed 12-0
  7. Discussion of filling our second social director position at this time. This will likely (per by-laws) take a period of nominations and voting to fill this position. Secretary/Treasurer will discuss this with current president. If this is not accomplished prior to the new board taking office, the new board will address this issue. Janet was asked about her interest in this position and she is interested when nominations take place.
  8. Discussion of a new fee structure for membership dues. We are on the higher end for club membership dues when looking at other Midwest Parrot Head clubs. Suggested club membership dues to take effect Jan 1, 2009... $10 single (Jan 1 through Dec 31) and $20 family (Jan 1 through Dec 31). These would still allow for payments on or after Oct 1 of each year that would cover membership dues for the rest of that year and the following year.
  9. Motion by Christy, second by Bob to amend the current by-laws to allow for the reduction of club membership dues (as discussed above) and to take effect on Jan 1, 2009 and to still allow any new memberships received on or after Oct 1, 2008 to cover members for the rest of this year and the following year at the reduced membership fee schedule. Motion passed 12-0
  10. Discussion of arranging a beach clean-up again this year to benefit Schumacher's beach. Sanderfield will try to arrange this sometime in September. Watch the web-site for additional details.
  11. Discussion of this year's Phlock Thru The Lock. More info to come at a later time.

Motion by Laura, second by Janet to adjourn. Motion passed 12-0
