Meeting Minutes - September 25, 2008

Meeting called to order at 7:11pm.

Old Business
- Report by Ron and Barb on the Des Moines Parrothead Club event, Livingston Saturday Night. They had a great time and were made to feel very welcome. The band, Too Drunk to Fish, were very good. It was suggested that club members be encouraged to attend these events as an opportunity to spread good will with these neighboring clubs. Ladd Nelson suggested to offer parrothead points to members to travel to these events. This was discussed in more detail under new business.
- Camp Courageous work weekend is this weekend. Work will be from 10am to 2pm. A Luau potluck dinner afterwards at the campground.
- 501C3/7- Discussion involving which one to apply for. After much discussion, it was decided the 501C3 would be to the club's best interest. Ron has a friend who would help us with the application. Janet Bries will initially fill in information that she knows, then pass it to Ladd who will fill in the information on the club's history and then it will go to Barb to fill in the financial aspect of the application. It will then go to Ron and his friend for a final look over before sending to the IRS. Ladd Nelson made the motion to choose the 501C3, Laura seconded, motion carries.
New Business
- Parrothead points. A discussion of the current parrothead point schedule regarding attending out of town events for other clubs and revamping a schedule for OPH. It is encouraged for club members to attend out of town events (fundraisers) given by other clubs. This shows goodwill to the other clubs and supports their causes as well. Laura made a motion to offer 1 PHP per out of town event with a maximum of 4 in a year. Cindy seconded, motion passes.
- The OPH event will be broke down into several parts and points will be distributed throughout the planning and the preparation process. Cindy made a motion to let the board use their discretion to assign point value to events as they see fit. Barb seconds, motion passes.
- Communication within the club. It seems that email isn't the most reliable way to communicate and organize volunteers. Ladd sugggested to use the Squawk Box on the website. It's not being used that extensively and it's an easy to communicate on a topic without clogging up everyone's email. Also it was suggested to use "E-vite." It is another way for Members to communicate about scheduling or volunteering for an event.
- Dubuque Humane Society fundraising event is scheduled for Oct 19 at Catfish Charlies. Suggestions for a name were discussed with Rover on the River at Catfish Charlie's and Critter Cruise was the favorite.
- The event starts at 1pm on the deck at Charlies with Pirate Over 50 playing.
- There will be silent auction items and $1 from every drink sold until 230 will be given to the Humae Society.
- The cruise will leave at 2:30.
- Tickets will be $12.95 without a donation and $10.95 with a donation; with proceeds of $3 and $1 per ticket, respectively, going to the Humane Society.
- People can call Marianne at the American Lady to make reservations and tickets can be purchased the day of the event.
- The cruise will be capped at 120 people.
- There will be drink specials during the cruise and food to be decided yet.
- After the cruise, Al is scheduled to play again on the deck with the same drink specials while the silent auction concludes.
- Marianne will promote the event through some of the radio spots she has. Script to be written and submitted to her ASAP.
- Next social is scheduled for Thursay, Oct 2, at Catfish Charlies at 7pm.
Treasurer Report
- Barb passed out a balance sheet with current balances listed. Ending balance is $1846.83.
- Earlier in the evening several members met with the Make-A-Wish people and presented a check to them in the amount of $6300 as a result of the One Particular Habour event that was held on June 29.
Membership Director
- New (and lower) prices for Single and Family club memberships is effective on October 1, 2008.
- Renewals will be mailed out in November with reminders sent out in December.
- Members will be able to renew 2 years at a time.
Social Director
- It has been a bad week for the humane society due to an unfortunate incident involving one of the volunteers. Kim will get a list of the events early next week and get them emailed out using the E-vite program.
Technology Director
- Still working on allowing members to add events to the calendar.
- Ron requested a report from Ladd of the members who had requested any parrothead points for the past month.
Vice President
- T-shirt information was discussed. Members need to decide what they want to order and what quantity. T-shirts, tank tops, and sweatshirts are offered with the new logo for a minimal price. Discussion on ordering extra to sell at events or future members/other clubs.
- An inventory of the items the club sells, blinky things, koozie's, etc will be taken and restocked as needed.
Christy made a motion to adjourn, Ron seconded. Meeting adjourned at 9:45.
