Meeting Minutes - November 20, 2008

Meeting called to order at 7:00 p.m.

Old Business

  • Receive a thank you note from Albrecht Acres for the help members provided during the breakfast on October 26.
  • Rover on the River- Thank you notes will be sent to Ron's mother and Charlie (Catfish Charlie's) and Marianne (American Lady) for their help and hospitality.
  • The social held on Saturday had a good turn-out. Will probably plan to do again.
  • 501c(3) - Close to being finished. Some changes may need to be made to the by-laws in order to promote the charity aspect of the club more than the social. Ladd summarized a few of the areas where the changes will be needed; club's purpose, refined the membership category regarding adults (18 years) and children. A conflict of interest clause was added and change to dissolution cause.
  • Motion made by Ron to adopt the changes to the by-laws, seconded by Mike Bradley. Noted - as the 501c3 proceeds, there may be other changes in the by-laws that may need to be discussed further. All in Favor, motion passes.

OPH 2009

  • Bands for the benefit were discussed, The Boat Drunks charge $2400. Cedar Island Band charges $1600; $1200 if we provide a sound system/technician. Mississippi with Al, offered to play for us for $625.
  • Major points for consideration were:
    1. smaller venue this year, Ron suggested we book Grand River Center ASAP for next year.
    2. What bands have a following? Mississippi will have a local draw. How big of a draw will affect the smaller venue.
    3. Keep the costs down as much as possible. Lower the cost of the tickets to draw more people → more tickets=more people=smaller venue=less return=lower satisfaction etc.
  • Discussion proceeded to deciding on a band, Al Ronek was asked to leave the area because of the newly approved conflict of interest clause in the by-laws. Steve Cavanaugh is going to play for an hour, he is donating his time. A motion was made by Ron to provide Steve 4 tickets to the event in exchange for his donation. Motion was seconded by Laura, all in favor, motion passed.
  • Roxanne made a motion to accept Mississippi's offer to play for $625/4 hours. Mike Bradley seconded, all in favor, motion passes.
  • Sponsor List was discussed. Don suggested the levels be changed to allow a wider range of donations and changes to the list of things a business receives in return for a donation. A committee was formed to discuss the sponsor levels and will report back to the back to the club.
  • Mark Steuer from Kirchhoff Distributing joins to talk about events and plans for the next year. He announced that we helped make Leo's Pub #1 for Landshark Lager in the Dubuque area. He also stated that Landshark Draft will be available in the area in the spring and talked about some party ideas with the club for the kickoff. Mark is willing to take orders from club members for the Landshark surfboard for personal use only. Ron will coordinate the order. Ron made a motion for the club to buy a couple of surfboards to be used for charity events. Mike Bradley seconded. All in favor, motion passes.
  • We can still order Corona merchandise, according to Mark, Corona items are the #1 selling branded merchandise. Ron will email the links and coordinate an order for Corona items.

New Business

  • Quilt project by Cindy Tucker. Cindy uses old Buffett t-shirts and Hawaiian shirts to make parrot head themed quilts. Ron posted on a PHIP list and received a response back from 14 clubs willing to donate a club shirt for the project. Size (of the shirt) doesn't matter to Cindy. :) Cindy is willing to do a queen size quilt and a smaller one for OPH to be auctioned off. Ron made a motion to donate a couple of club shirts to the quilt. All in favor, motion passes.
  • Peosta party - Feb 28th. Do we (club) want to help with the event? Mississippi playing, $5 at the door. Mark will help promote the event if the club is involved with it. Christy and Roxanne are willing to set up shop and sell club merchandise. Ron will take point of contact and follow up with details.

Social Director

  • Kim requested help. It was suggested at the elections that there be two social directors due to the number of responsibilities. Jody Bradley volunteered to help.
  • Next social will be December 4th at Gunther's pending any weather complications.
  • December 18th - Business meeting at Catfish Charlie's.
  • January 3 - Social at Doghouse Lounge.
  • January Business meeting to be held at Kirchhoff's if possible. Date to be determined.
  • Send Jody any club pictures you want to share.

Technology Director

  • We are now being hosted with GoDaddy.com. Offered the best deal overall for what we need.

Vice President

  • Still taking shirt orders, up to 12 right now, would like to get 24 at least to get the best deal. Let Randy know if you want to place an order.

Treasurer

  • Current balance is $1950. Just wrote a check to Ladd for the webhosting change so it is a about $200 less than that.

Membership Director

  • Currently have 4 board members who haven't paid yet... (consequently they paid).

Laura made a motion to adjourn. Randy seconded. Meeting adjourned at 9:15 p.m.
